ELGA allocation process
Below is the process to do ELGA allocation
Before we see and understand the ELGA grouping/ELGA Allocation process lets understand the school setup process once again
School setup process with Offline ELGA BOY
Upload students -->BOY(Offline mode) --> Correction by teacher --> Upload BOY marks in the Nucleus --> ELGA Grouping/Allocation --> ELGA confirmation
School setup process with Online ELGA BOY
Upload students -->BOY(Online mode) --> Auto-correction of ASM --> Auto Upload BOY marks in the Nucleus --> ELGA Grouping/Allocation --> ELGA confirmation
School setup process with Automatic ELGA Allocation:
Upload students -->ELGA BOY is not conducted -->Upload BOY marks as per the benchmark --> --> ELGA Grouping/Allocation --> ELGA confirmation
Basic check to be done before starting ELGA grouping -
- Student capacity of the classes to be updated
- Adequate amount of teachers to be added
ELGA allocattion scenario wise -
Post ELGA confirmation (Onboarding completed)
-
Post ELGA confirmation (ELGA level allocated to all students)-
- Single Student/Few students - Go to student list --> Find the student --> Click on "ELGA Details" --> Now move the students to the relevant ELGA Class(If that ELGA class doesn't reflect, create the new ELGA level)
- Bulk Update - Click on ELGA Grouping -->Download the ELGA info Sheet --> Make the relevant changes & save the sheet --> Bulk Upload Excel Sheet for ELGA.
- How to create a new ELGA level:- Go to the Student List --> Select any student (Grade 1 & above) --> Click on Edit --> Click on ELGA details -->Select the ELGA class & ELGA division --> Click on Save (That student moves to that ELGA group & Div).
-
- Go to ELGA Grouping --> Download the ELGA info sheet -->Make the relevant changes & save the sheet -->Bulk Upload Excel Sheet for ELGA
-
Post ELGA confirmation (ELGA level not allocated to all students)-
- Find the student --> Enter the marks (If provided enter those marks/ If they want ELGA level as per their request, then enter marks as per the ELGA calculator sheet) --> Go to the ELGA Grouping pane & confirm the ELGA Level.

ELGA Allocation + Promotion
- Integrated Program school
- Promote all students to AY 22-23, promotion can only happen if all students have been allocated ELGA level in the AY 21-22. If ELGA is not allocated and we try to promote the students we will get the below error.
-
- Now allocate ELGA to all the students who did not have the ELGA level for AY 21-22. (How to allocate:- Find the student --> Enter the marks (If provided enter those marks/ If they want ELGA level as per their request, then enter marks as per the ELGA calculator sheet) --> Go to the ELGA Grouping pane & confirm the ELGA Level.)
- Now click on promotion --> Promote students as per the ELGA level request (The Grades reflecting for the students are the current year's grade i.e for AY 21-22)
- After completing the promotion log out & log in again. Now we have to schedule the BOY for AC 22-23 and we would only be able to confirm the grouping the next day (Keep the ticket in follow up).
- The next day, download the Answer Key and click on the ELGA grouping pane to do ELGA grouping (This has to be done in AY 22-23. As ELGA confirmation was done in AY 21-22 hence Class to ELGA Mapping page will not work. We have to download the ELGA info sheet and make changes and re-upload)
- Check and understand the request, accordingly get the ELGA grouping done (Remember after confirming the ELGA we can do bulk update as well)
- Platform only school
- Promote required students to AY 22-23, No ELGA confirmation is required (If marks are uploaded these marks will be carried forward to Ay 22-23)
- After completing the promotion log out & log in again. Now we have to schedule the BOY for AC 22-23 and we would only be able to confirm the grouping the next day (Keep the ticket in follow up).
- The next day, download the Answer Key and click on the ELGA grouping pane to do ELGA grouping (As ELGA confirmation was not done in AY 21-22 we have to do ELGA confirmation for AY 22-23)
- To move to the ELGA grouping page (We have to meet the below 4 parameters)
- Minimum percentage of students to be uploaded before allocation (What % of students you are uploading based on the agreement level)
- Minimum percentage of students to be uploaded from each class before ELGA allocation (This means minimum % 0f students allowed in each class based on their capacity. This section can have a value of 0 - zero)
-
Minimum percentage of students with BOY scores (This calc is based on total students uploaded in the system)
-
Minimum number of students allowed in a classroom (This is just count & not %)
- Click on ELGA grouping --> Go to Class to ELGA Mapping page --> Here we can do the bulk movement of students
- Once we get the required ELGA level,we can do ELGA confirmation (Note - Once we confirm the ELGA level we cannot use the ELGA Mapping page to do bulk movements but we can use the download ELGA info sheet)
- Data is uploaded in Ay 22-23 (Data not uploaded in 21-22)
- Add a single dummy student (In all Grades) in Ay 21-22 and promote them using the TC option
- Follow the above request
ELGA Allocation (Without Promotion)
Let's understand the parameters on which ELGA Allocation is based(When you can see the ELGA grouping page).
We can see ELGA grouping page only if we meet the below parameters
- Minimum percentage of students to be uploaded before allocation (What % of students you are uploading based on the agreement level)
- Minimum percentage of students to be uploaded from each class before ELGA allocation (This means minimum % 0f students allowed in each class based on their capacity. This section can have a value of 0 - zero)
-
Minimum percentage of students with BOY scores (This calc is based on total students uploaded in the system)
-
Minimum number of students allowed in a classroom (This is just count & not %)
Hack :
| 10 | 0 |
| 10 | 15 |
Once the above parameters are met, the system will allow us to move to the ELGA grouping page.
What errors we can expect & how we can fix them?. Always correct the error's on the grouping page by reading the error. Below are the errors which we can face during ELGA allocation.
Classroom not available
- Speak with the AEM and check if we can get the
Classroom capacity of ... exceeded.
- Increase the capacity of the classroom ( Go to Classroom details & increase the seating capacity)
- No teacher for this ELGA Division
- If the school has teachers then add them
-
- If the school doesn't have the teachers then click on Hire more teachers
