How to identify and resolve Implementation queries

Implementation Resolution FAQ 

1. Nucleus ID is missing for a particular Deal ID

Step 1:

 Check the deal in HubSpot using the respective Deal ID. Verify the following three conditions:

  1. Deal Stage
  2. Deal Pipeline
  3. Deal Nucleus Mapping
  4. Deal status - Test deal or not


RCA - Not visible on copilot because any one or more of the below conditions

    1. Deal not in the right stage - not in ('14. Sign-Up', '15. Deal Revision for Finance Approval', '16. Deal Revision rejected by Finance')
    2. Deal nucleus mapping incorrect 
  • Deal not in the correct pipeline
  • Deal should not be a Test deal

In Hubspot, click view all properties, then search for dealstage as shown below: 

Deal stage:

Pipeline:
Ensure that the pipeline is set to Sales Pipeline, as only this pipeline is considered in our current configuration. Click view all properties, then search for pipeline as shown below: 

                         

“Is this a test deal” field:
Go to the Deal Information section in hubspot and check this field. If the value is No, it's valid. If it's anything else, the deal may be excluded. Only deals marked as No are considered in our configuration.

Step 2:
If everything in HubSpot is correct, check the Billed Sparks sheet, which lists all billed class-subject  combinations. Sheet link: Billed Sparks Sheet

Search for the Deal ID in the sheet. If it’s not listed, it means the deal hasn't been billed yet. Hence, it will not appear on the Co-Pilot dashboard, because we only show billed class-subjects in our dashboard.

2. CCS Teacher's Name is Not Visible in Co-Pilot

The Implementation dashboard in Co-Pilot does not display data for subject CCS as per the current configuration. Therefore, CCS subjects and their teacher names will not be visible on the dashboard.

3. Fewer Grade Subjects Displayed on the Implementation Dashboard

There may be a mismatch between expected and displayed Grade Subjects : The Implementation Dashboard only reflects class-subjects that have been billed.
For example, if 15 class-subjects exist but only 13 have been billed, only those 13 will appear.
Also, CCS data is excluded, so only non-CCS billed class-subjects are shown.

You need to go and check for the nucleus ID in SOA (SOA Link) what all subjects are billed, count the subjects whatever will be the count the Implementation Dashboard only reflects those excluding CSS.

First select the academic year then scroll down and check for billed subjects.

4. Branch School Billing Not Reflected in Dashboard

If there deal ID has no billing, implementation will not get computed for the nucleus ID tagged to it, unless, it is a part of the following sheet - Branch Exceptions


5. Future Months-Start School is Visible in the Report

If a school is a Future Months-start school, it should be excluded from the current Implementation Report on COPILOT . For this,  Use the “School Started” filter which is a yes/no type filter to display only schools that have already commenced operations.

Go to copilot, Implementation Dashboard and deselect the filter as shown below:

6. If AA is not able to see Schools 

  1. Either : AA is not tagged to the deal on hubspot - The AA assigned to the school may have changed. So, in such cases tag Sonu Tiwari for verification and reallocation.
  2. Or : Incorrect filter applied on implementation dashboard by the AA
  3. Or : Check for case handling on Issue 1 : Nucleus ID is missing for a particular Deal ID
